Become a State of New Hampshire Vendor

Becoming a State of New Hampshire vendor is easy! There are two ways to complete the application process, simply email us at PRCH.web@das.nh.gov and request a vendor application or find a download link at the bottom of this post; return by fax, email, or mail;    OR    use our online vendor registry, with recommend Internet Explorer as your browser.  The online registry should ONLY be utilized by a vendor with 1 address location  OR  1 purchasing address and 1 remittance address.

Basic information required for the application: Business name, address, phone, and email; Federal tax-Id number or Social Security number, and principal activity: service, product or other.  Knowing your company’s NIGP (Purchasing codes) can help buyers find your business with they are looking to bid; these NIGP codes describe your commodity or service and what do you best!  A complete list of NIGP codes can be found on our website

Upcoming Vendor and Bidding Changes

The State of New Hampshire is enhancing our statewide vendor database to make it easier to do business with the State. These changes include a new Supplier Portal that will allow vendors to register for a supplier number, update and maintain their company information, submit their bids and proposals electronically, and view all posted bids or proposals by any state agency utilizing the web portal.

To make things easier for the transition, SoNH will be importing your current vendor information into the new Supplier Portal and creating the supplier numbers. To do this on your behalf we will need a contact name, first and last, an email address best suited for receiving bid solicitations, preferably a generic email not a personal email address, and a business phone number. Please visit our current online vendor registration site, or submit an updated alternate W-9 form to receive your supplier number and utilize the new Supplier Portal when it goes live.

Currently, bid and contract postings are found on our Bureau of Purchase and Property webpage; these pages will continue to be utilized. Postings for DHHS can be found here, this page will also continue to be utilized. In the future, items related to procurement activities that are currently submitted to the Department of Administrative Services, the Department of Information Technology, and the Department of Health and Human Services, either physically, by e-mail, or fax, will be submitted electronically via the Supplier Portal. These changes will not impact bids submitted to other State agencies until further notice.

These new features are expected to be available Summer of 2020. SoNH will be providing you updated information as we move forward with these upgrades. 315187 University System of New Hampshire

The University of New Hampshire School of Law, the University of New Hampshire at Manchester, Plymouth State University, Keene State College, and Granite State College have previously been observed in NH First as unique entities, while in fact they are a part of the University System of New Hampshire. Established in 1963, The University System of New Hampshire based out of Durham, NH boasts to be ‘the largest provider of postsecondary education in the Granite State’, enrolling 32,000 students annually. Considering every institution is utilizing one Federal EIN Number, it only makes sense to reflect their institutions as one NH First vendor.

Early February, Data Control began combining the locations of vendors, 177491, 177865, 177866, 177867, 202316, 229635, 309780, & 310432 to become all locations of the new created vendor, 315187 The University System of NH. This new vendor is home to 130 B locations, 7 P locations and 9 Remit locations. All locations for the prior accounts have been rendered inactivate and their addresses reflected in locations in 315187. In efforts to assist agencies in locating the location that they ‘usually’ use, you will find a note on the vendor location user field 4, directing you to the four digit alphanumeric location established with vendor 315187

If you do need a location and cannot find it listed in 315187, please do not direct the university personnel to use the online vendor registry, this online registry is established for vendors with either 1 location OR 1 location for purchase orders and 1 different location for remittance. Any additions to the locations for the University System 315187 should be handled by a team member of Data Control, this will ensure that the information currently on the file will not be overwritten with new information.
